Kung Medics FRCEM Career Day
These Terms and Conditions apply to bookings for the Kung Medics FRCEM Career Day, organised by Kung Medics Clinical Courses (“Kung Medics”, “we”, “us” or “the organiser”).
By submitting a booking, the attendee confirms that they have read, understood and agreed to these Terms and Conditions.
1. Nature of the event
The Kung Medics FRCEM Career Day is an independently organised educational, guidance, mentoring and networking event for doctors interested in the FRCEM examination pathway.
The event is not:
-
An official Royal College of Emergency Medicine course;
-
An RCEM-accredited or RCEM-endorsed event;
-
A substitute for formal examination preparation;
-
A guarantee of examination success; or
-
A source of official examination advice.
Information shared by speakers represents their professional experience and personal opinions. Attendees remain responsible for checking current examination requirements, eligibility criteria, regulations and guidance with the relevant examining body.
2. Eligibility
The event is intended for qualified doctors who have a genuine interest in Emergency Medicine and the FRCEM examination pathway.
Applicants should normally:

Be medically qualified;
-
Be considering, planning or actively preparing for FRCEM;
-
Provide accurate information about their professional role and examination stage;
-
Agree to behave professionally and respectfully; and
-
Intend to attend the full event.
Priority may be given to doctors who hold MRCEM, are actively preparing for an FRCEM examination or intend to begin preparation in the foreseeable future.
Kung Medics may request reasonable evidence of medical qualification, professional registration, employment or examination status where appropriate.
We reserve the right to decline or cancel a booking where the applicant does not meet the eligibility criteria or has provided materially inaccurate information.
3. Limited places
Attendance is limited to a maximum of 50 candidates.
Places are normally allocated on a first-come, first-served basis, subject to eligibility and successful payment of the refundable reservation deposit.
Submitting a registration form without completing the required deposit payment does not secure a place.
Once the event reaches capacity, applicants may be placed on a waiting list.
4. Free admission
There is no attendance fee for the core FRCEM Career Day programme.
However, a £25 refundable reservation deposit is required to secure a place. This deposit is intended to reduce avoidable non-attendance and ensure that the limited places are used by candidates who genuinely intend to participate.
The event may therefore be described as a free event with a refundable attendance deposit.
5. Refundable £25 reservation deposit
Each candidate must pay a £25 reservation deposit when booking.
The deposit will normally be refunded to the original payment method after the candidate:
-
Attends the event in person;
-
Completes the required registration or check-in process;
-
Participates in the event for the required duration; and
-
Completes the event feedback or evaluation form.
Refunds will normally be initiated within 7–10 working days after the event. The time taken for the funds to appear may depend on the payment provider or the attendee’s bank.
No interest or additional compensation will be payable on the deposit.
6. Attendance requirements for deposit refund
To qualify for the refund, attendees are expected to arrive on time and participate in the full scheduled educational programme.
An attendee who expects to arrive late or leave early because of an unavoidable circumstance should notify Kung Medics as soon as reasonably possible.
The deposit may be retained where the attendee:

Does not attend;
-
Fails to complete event check-in;
-
Arrives substantially late without prior notice or reasonable explanation;
-
Leaves substantially before the end without prior agreement;
-
Books a place but sends an unregistered substitute;
-
Is removed from the event because of serious misconduct; or
-
Does not complete the required attendance or evaluation process after being given a reasonable opportunity to do so.
Any decision to retain the deposit will be made reasonably and with consideration of the circumstances. Retention of a deposit or cancellation charge should be proportionate rather than punitive, and consumer-facing contract terms must be fair and transparent. (GOV.UK)
7. Candidate cancellation
Candidates who can no longer attend must notify Kung Medics in writing as early as possible.
Cancellation more than seven calendar days before the event
The £25 reservation deposit will normally be refunded.
Cancellation within seven calendar days of the event
The deposit may be retained to reflect the administrative cost and the risk that the place cannot be offered to another eligible candidate.
However, where the place is successfully reallocated from the waiting list, Kung Medics may refund the deposit at its discretion after deducting any reasonable, directly incurred transaction or administrative cost.
Non-attendance without cancellation
The deposit will normally be retained.
Under UK consumer-law guidance, a business should not automatically retain a deposit in a manner that is disproportionate to its actual loss, and it should take reasonable steps to reduce its loss, such as reallocating the place where possible. (GOV.UK)
8. Exceptional circumstances
Candidates unable to attend because of a significant and unexpected circumstance should contact Kung Medics promptly and provide relevant supporting information where reasonably requested.
Examples may include:

Acute illness or medical emergency;
-
Bereavement;
-
Serious family emergency;
-
Unexpected hospital on-call or emergency clinical duty;
-
Major travel disruption; or
-
Another circumstance outside the candidate’s reasonable control.
Refunds in exceptional circumstances will be considered fairly on a case-by-case basis. Supporting evidence may be requested where appropriate.
9. Optional £25 contribution
During booking, candidates may choose to make an additional £25 voluntary contribution toward the cost of organising and delivering the event.
The contribution may support:
-
Venue and administrative costs;
-
Refreshments and hospitality;
-
Educational materials;
-
Faculty and speaker expenses; and
-
Future free or subsidised educational activities.
The contribution is entirely optional and must be selected actively by the candidate.
It must not be automatically added or preselected during checkout. UK rules require a customer’s express consent before charging for an optional additional payment. (GOV.UK)
Declining to make the optional contribution will not affect:
10. Refund status of the optional contribution
The optional £25 contribution is separate from the refundable reservation deposit.
Where a candidate pays £50 at booking:
The optional contribution is normally non-refundable once the booking has been confirmed and event-related expenditure has been committed.
However, it will be refunded where:
It may also be refunded at Kung Medics’ discretion where no related costs have yet been incurred.
The optional contribution should not be described as a charitable donation unless it is being received by an eligible charity under the applicable charity and tax rules.
11. Cooling-off and online bookings
Bookings for events delivered on a specific date may fall within an exemption from the usual 14-day cancellation right that applies to some online contracts, particularly where the booking concerns a leisure or event-related service on a specified date. (GOV.UK)
Regardless of whether a statutory cooling-off period applies in an individual case, Kung Medics will apply the cancellation and refund arrangements set out in these Terms fairly and reasonably.
Nothing in these Terms removes any statutory right that an attendee may have.
12. Booking confirmation
A booking is confirmed only when:
-
The registration form has been completed;
-
Eligibility information has been provided;
-
The £25 reservation deposit has been successfully paid; and
-
A booking confirmation has been issued.
Candidates are responsible for checking the information in their confirmation and notifying Kung Medics promptly of any error.
Booking confirmation should be retained and may be requested during event registration.
13. Personal and non-transferable bookings
Bookings are issued to the named candidate and are not automatically transferable.
A candidate must not sell, advertise, assign or transfer a place to another person without prior written approval from Kung Medics.
Where a transfer is approved, the replacement attendee must satisfy the eligibility criteria and complete any required registration documentation.
Unauthorised substitutions may be refused entry.
14. Waiting list
Where the event is full, Kung Medics may maintain a waiting list.
Being placed on the waiting list does not guarantee a place.
When a place becomes available, it may be offered subject to:
Kung Medics may decide the order in which waiting-list places are offered, taking account of the date of application and relevance to the event.
15. Event changes
Kung Medics may make reasonable changes to:
-
The programme;
-
Session order;
-
Timings;
-
Speakers;
-
Faculty;
-
Teaching format;
-
Room allocation; or
-
Educational content.
Such changes may be necessary because of faculty availability, operational requirements, safety considerations or circumstances outside our control.
A change of speaker or adjustment to the programme will not normally entitle an attendee to compensation, provided the overall nature and educational purpose of the event remain substantially the same.
16. Event postponement
Where the event is postponed, candidates will normally be offered:
Candidates who paid the optional contribution may choose to:
Kung Medics will communicate any revised date as soon as reasonably possible.
17. Event cancellation by Kung Medics
Where Kung Medics cancels the event and does not provide an acceptable alternative date, candidates will receive a refund of:
Kung Medics will not normally be responsible for indirect costs such as travel, accommodation, loss of earnings, study leave or childcare, except where liability cannot lawfully be excluded.
Candidates are advised to use flexible or refundable travel and accommodation arrangements.
18. Circumstances outside our reasonable control
Kung Medics will not be responsible for failure or delay caused by circumstances outside its reasonable control, including:

Severe weather;
-
Transport disruption;
-
Public-health restrictions;
-
Power or internet failure;
-
Venue closure;
-
Fire, flood or structural problems;
-
Industrial action;
-
Serious faculty illness;
-
Government restrictions;
-
Civil emergency; or
-
Any comparable event that could not reasonably have been prevented.
Where possible, Kung Medics may reschedule, relocate or modify the event.
Any limitation of responsibility under this section is subject to applicable law and does not exclude liability that cannot legally be excluded.
19. Venue and accessibility
The event venue and joining instructions will be confirmed separately.
Candidates must review the venue information before attending and notify Kung Medics promptly of any accessibility needs or reasonable-adjustment requirements.
Where the event is held at the Kung Medics or PLAB Guide Training Centre premises, attendees should note that some teaching areas may be accessible only by stairs.
Kung Medics will take reasonable steps to support accessibility but cannot guarantee that every adjustment will be possible at every venue.
20. Conduct and professional standards
All attendees must:
-
Treat faculty, staff, guests and other attendees respectfully;
-
Avoid discriminatory, intimidating, threatening or disruptive conduct;
-
Maintain patient confidentiality;
-
Avoid sharing identifiable patient information;
-
Follow venue health and safety requirements;
-
Respect the confidentiality of personal experiences shared by other attendees; and
-
Follow reasonable instructions from event staff.
Kung Medics may refuse admission or require an attendee to leave where their behaviour presents a safety concern, seriously disrupts the event or amounts to professional misconduct.
Where removal results from serious misconduct, the reservation deposit may be retained and no reimbursement of associated costs will be provided.
21. Confidentiality and clinical discussions
Attendees must not disclose identifiable patient information during discussions, examples, questions or networking sessions.
Clinical cases should be appropriately anonymised.
Kung Medics accepts no responsibility for confidential information disclosed inappropriately by an attendee.
22. Photography, video and recordings
Kung Medics may take photographs or short video recordings for event documentation, education or promotional purposes.
Attendees will be informed where event photography is planned and will be given a reasonable opportunity to opt out of identifiable promotional images.
Candidates must not make audio, video or photographic recordings of teaching sessions, slides, speakers or other attendees without prior permission.
Materials must not be livestreamed, copied, distributed or published without authorisation.
23. Intellectual property
All slides, handouts, workbooks, recordings, designs and other event materials remain the intellectual property of Kung Medics or the relevant speaker or copyright holder.
Materials are supplied for the attendee’s personal educational use only.
Attendees must not:
-
Reproduce or redistribute materials commercially;
-
Upload them to shared drives, websites or social-media groups;
-
Sell or sublicense them;
-
Remove branding or copyright notices; or
-
Use substantial parts to deliver another course without written permission.
24. CPD and certificates
The event is designed as an educational and professional-development activity.
A certificate of attendance may be issued to attendees who:
-
Complete the required attendance;
-
Participate appropriately; and
-
Complete the event evaluation form.
The certificate may state the number of educational hours delivered, excluding registration, breaks and lunch.
Participants may record the event within their CPD portfolio where relevant to their professional role and development needs.
The event is not represented as RCEM-accredited or RCEM-endorsed CPD unless this is expressly confirmed in writing.
The attendee remains responsible for deciding how the learning should be recorded and whether it meets the requirements of their employer, supervisor, appraiser or responsible officer.
25. No guarantee of examination success
Attendance does not guarantee:
-
Passing an FRCEM examination;
-
Eligibility to sit an examination;
-
Acceptance of an examination application;
-
Improvement in a particular examination score; or
-
Career progression.
Examination success depends on many factors, including the candidate’s knowledge, preparation, clinical experience, performance and compliance with the examining body’s requirements.
No refund or compensation will be provided solely because an attendee is subsequently unsuccessful in an examination.
26. Personal information
Personal information will be used for purposes connected with:
-
Processing the booking;
-
Confirming eligibility;
-
Managing attendance;
-
Communicating event information;
-
Processing deposits and refunds;
-
Issuing certificates;
-
Obtaining feedback; and
-
Meeting legal or regulatory obligations.
Marketing communications will be sent only where there is an appropriate lawful basis, and candidates may unsubscribe from such communications.
Payment information may be processed by a third-party payment provider under its own privacy and security arrangements.
27. Communications
Candidates are responsible for providing a valid email address and telephone number and for checking their inbox, spam or junk folders.
Important information may be sent by email, text message or WhatsApp using the contact details supplied during registration.
Kung Medics is not responsible for missed communications caused by incorrect contact information, filtering settings or failure to check messages.
28. Complaints
Any concern should initially be raised with the event team so that it can be addressed promptly.
Formal complaints should be submitted in writing and should include:
Kung Medics will aim to acknowledge a formal complaint within five working days and provide a substantive response within a reasonable period.
29. Liability
Nothing in these Terms excludes or limits liability for:
-
Death or personal injury caused by negligence;
-
Fraud or fraudulent misrepresentation; or
-
Any other liability that cannot legally be excluded.
Subject to those exceptions, Kung Medics will not be responsible for:
-
Personal examination outcomes;
-
Loss or damage to personal belongings unless caused by our negligence;
-
Travel or accommodation costs;
-
Loss of earnings;
-
Missed clinical shifts;
-
Indirect or consequential loss; or
-
Reliance on a speaker’s personal opinion as though it were official regulatory advice.
Any contractual limitation will apply only to the extent permitted by law.
30. Severability
Where any provision of these Terms is found to be unlawful, invalid or unenforceable, the remaining provisions will continue to apply.
The affected provision will be interpreted or modified only to the minimum extent necessary to make it lawful and enforceable.
31. Changes to these Terms
Kung Medics may update these Terms where reasonably necessary.
The version applicable to a booking will normally be the version accepted when the booking was made, unless:
-
A change is required by law;
-
The change benefits the attendee; or
-
The attendee agrees to the revised terms.
Any material change affecting an existing booking will be communicated appropriately.
32. Governing law
These Terms are governed by the laws of England and Wales.
The courts of England and Wales will have jurisdiction, subject to any mandatory legal rights that apply to the attendee.
33. Acceptance
By completing the booking, the candidate confirms:
I have read and agree to the Kung Medics FRCEM Career Day Terms and Conditions. I understand that admission is free but that a £25 refundable reservation deposit is required. I understand the conditions for refunding the deposit. I also understand that the separate £25 event contribution is optional and will be charged only where I actively select and authorise it.
